Does ChatGPT or Claude Really Need Access to Your Entire OneDrive?

AI tool with limited access to approved OneDrive files

We recently talked with a business that wanted to connect an AI desktop tool directly to OneDrive. It raised a question that more businesses will face as employees use tools like ChatGPT and Claude: if you want ChatGPT or Claude to work with one company document, does it really need access to thousands of them?

Connecting these tools to company files can be incredibly convenient, but convenience should not automatically mean access to everything.

Give ChatGPT or Claude Only What It Needs

ChatGPT and Claude can help summarize documents, compare information, answer questions about files, and work with company content. But the information needed for each task can be very different.

A simple rule for employees is: give ChatGPT or Claude what it needs to complete the task and nothing more.

If you need help rewriting part of a document, provide that section. If Claude needs to review one file, share that file rather than an entire folder. If ChatGPT needs ongoing access to certain documents, consider using a specific folder containing approved information instead of connecting an entire OneDrive.

Check Before You Connect

Before connecting ChatGPT, Claude, or another AI platform to company information, understand what access you are granting. What files can it see? How will that information be handled? Has your company approved that particular tool for use with business data? These questions matter even when the connection takes only a few clicks.

When Broader Access Actually Makes Sense

There are situations where giving AI access to more company information can provide much more functionality. Microsoft Copilot, for example, can work within Microsoft 365 and use the permissions your organization already has in place to help employees work across email, meetings, documents, and other company information they are authorized to access.

Other business-focused AI platforms can provide similar capabilities when they are properly configured and approved. The difference is that broader access is an intentional company decision, rather than an employee connecting a new AI tool to thousands of files because it is convenient.

The goal is not to make ChatGPT or Claude harder to use. It is to match the tool and the access to the work being performed.
